Discussion (with Mike):

  1. Verify: read-only searchable database by the end of March/beginning of April

§         Upon completion: conduct usability testing at Richmond on 10 proposals entered into the system.

  1. Define the category scheme & verify the categories

§         10 primary categories, 16 subcategories

§         7 categories that we came up with: 6 goals, year started, division, region, school size, school type (urban, rural, suburban), and budget

  1. Bridge the gap between us and VDOE. (Tara or Barbara’s name to looked out for during client contact.

§         We need the verification of the rubric and the sections that we put it in

§         Meeting with TA’s on Monday: 2/23. (We will send the agenda by next week to Susan.

  1. We would like to have a one-person contact: Susan / Steve to call or email. (Interim   

        questions during the design process.

  1. Clarification: How are the TA’s dealing with proposals that are not in accordance to the       

       categories on ttaconline site.

§         Will they be forcing the categories themselves as discussed in December’s presentation or

§         Do we need to send them the categories (primary) for the new set of proposals that they have received/ will receive.

  1. Scanned documents are in an unreadable format. Paper based proposals required to start work.

504= disability that does not require and IEP and just requires an adapted plan

  1. On Monday-updated TA’s on what we are doing as a group.
  2. On Tuesday (yesterday)- we sent a email to Susan titled ‘rubric verification’ with a attachment of the rubric that according to the VDOE web-site is currently used by the TA's as a LIP evaluation mechanism. 
    1. This rubric is used by Pat
  3. Schedule a presentation in late March/early April that will have a prototype of a searchable database with 10 example real proposals.
    1. Mike-in July we will have the rest of the database
    2. Monday, March 29th: present working prototype at TA meeting 10a-11a
    3. Tuesday, April 20th : present prototype at VDOE with TTAC1 between 10-12
  4. To make sure we are all on the same page: run through the concept map (see attachment 2)
  5. We have identified 7 searchable items other than the primary and secondary categories that are already on the site, they are:
    1. The 6 goals (including 1 other category)-state goals have changed so use general categories, also the goals are always changing so general would be better
    2. Year started- keep in mind the school timeline is from, for example: July 1, 2003 to June 30, 2004
    3. Division (vs state operated programs (SOP)
    4. Region
    5. School size (automatic fill in according to division so that the TA’s do not need this knowledge)
    6. School type: urban, rural, suburban
    7. Budget (LIP award)
    8. Completed v uncompleted proposals
  6. Who should we use as a contact for the TA’s?  Susan Mesling (Phone 804-786-9775)?
    1. Do you want to be copied with the emails that are sent? YES
  7. Are we able to meet with the TA’s on February 23rd, or should we meet only with you? Only meet with Pat until then, any other questions that come up should be funneled through Susan
    1. If we can meet with the TA’s we would like to: verify the concept map, discuss categories for the database, update them on where we are and progress that we have made in design

 

Notes:

·         We are going to have to put together an instruction packet and procedure manual for the TA’s to use when inputting data

·         Mike-update Ken Olsen with a status report (TA’s are meeting with him on March 5th) =we are doing this for him.
