Tips for the Toastmaster of the Evening

To Prepare for the Meeting

Contact your General Evaluator first 
You should be contacting the speakers, Table Topics Master, Inspirational Opener, and the any other presenters (if applicable) to confirm their roles.
The General Evaluator should confirm with the remaining participants. 
You and the General Evaluator should decide which Evaluator should be paired with which Speaker. 
Try to match a more senior member, who is experienced and good at inspiring speakers, as Evaluator to a newer member Speaker. 
Give newer members experience in evaluating by matching them to more experienced speakers who are accustomed to being evaluated. 
Contact the speakers. 
Find out which manual speech they are giving and the time limit (i.e. #4, Basic Manual) 
Find out the title to their speech. 
Ask the speaker for information you can use to introduce them and prepare the audience 
Prepare the agenda 
As Toastmaster of the Evening, you have control of the meeting Agenda and you may format it any way you wish. 
Placing times for each part of the meeting encourages people to stay on track (i.e. Call to Order-7:15, Welcome-7:16, Toastmaster-7:20, etc.)

During the Meeting

Go over your agenda with the Sergeant - At - Arms so that they can be prepared to start the meeting 
You may wish to start the meeting with some opening remarks of your own before you introduce the Inspirational Opener. 
Be sure to introduce the Timer/Vote Counter and Grammarian for the benefit of guests in the audience and our newer members. 
At the end of both Table Topics and the prepared speeches, ask everyone to fill out: 
the "voting slips" to pass to the Timer/Vote Counter - explain the purpose of each meeting giving recognition awards (Awards are given based upon the individual speakers attainment of the goal for that speech - not always necessarily the "best speaker")
the "comment slips" to speakers - explain purpose of providing positive feedback 
Allow for a small break in the middle of the evening and call the General Evaluator up for the second half of the meeting. 
After presenting the awards, call up the Club President to finish with the business portion of the meeting.
