SUBJECT:   Proofreading the Instructions and Procedures Project

 

 

While performing the proofreading on two Instructions and Procedures Projects, I observed the following regarding my performance:

 

First Reading:  Scan the Entire Document

 

While scanning the document by Grisel Peña, I had no trouble scanning all of the pages of the document quickly.  However, before blurring my vision, I noticed that there were several typewritten mistakes and I wanted to immediately correct those.  Since that was not the purpose for the first reading, however, I continued to try to blur my vision and looked at the white space versus the black space on each page.  Two examples that I found on the document by Grisel Peña were that the table on the first page was not well done, and on Page 2, white space between the last part of the text and title should be in all capitals or otherwise more consistent. 

 

Second Reading:  Access Overall Organization

 

I performed this task very well with no divergences that I could tell.  The titles, subtitles, major headers and other organizational clues were well done in Jennifer B’s document.  I noted that the use of another font as well as single spacing of the final document would make the improve document appearance.

 

Third Reading:  Track Your First Encounter at the Sentence Level

 

Performing this task is difficult because one must totally clear one’s mind of everything and completely concentrate on just this one task.  I think I did a fairly good job of performing this task despite a wondering mind.  There were no encounters of questioning why I underlined something because, for the most part, the document by Grisel Peña was well written and easy to understand.  There were, however, some format and layout problems to address.

 

Fourth Reading:  Qualify Your Encounter

 

While rereading the document for the fourth time and qualifying the marks on the documents, I found some marks that were unjustified, but were marked anyway.  I erased these marks, even though I should not have.  This was only done twice throughout the fourth reading, and the second document that I read was easier to deal with—Jennifer B’s document.

 

Fifth Reading:  Edit for Technical Style

 

I carefully reread Grisel Peña’s document for the fifth time.  While performing this task, I found very few changes and no grammatical errors. 

 

Sixth Reading:  Evaluate the Ethos

 

After taking a break, I backed off and looked at the document at the global level.  I needed more than just a minute or two, but that was all I had.  From what I could see, the ethos was well-done, the document seemed complete and accurate and was adequate.  I could see no misunderstandings or catastrophies.  Jennifer B’s document was well done.

 

After reading these two documents, I found that I could perform my own proofreading better as could do it in less time than before.
